A repeatable preflight checklist for QR codes on packaging, signs, cards, labels, and menus.
A successful scan from a laptop screen is only the first test. Printing changes size, sharpness, color, reflectivity, and viewing conditions. Use a short preflight process before committing to hundreds or thousands of copies.
Validate the content
Decode the file and compare the exact result with the intended URL, number, message, or contact details. Open web destinations on mobile data, confirm HTTPS, check redirects, and ensure the page works without an internal login. Remove temporary preview or staging links.
Print the production artwork
Use the same file, dimensions, material, finish, and nearby design elements planned for production. A home-office proof is useful, but a sample from the production vendor is better when paper, ink, laminate, engraving, or curvature could affect the code.
Test realistic variation
- Several iPhone and Android models
- Close and maximum expected distance
- Bright, normal, and dim light
- Straight and slightly angled views
- Clean and realistically handled samples
Inspect the fallback and ownership
Include a readable alternative. For dynamic codes, confirm who owns the domain and account, how renewals are paid, and who can update the destination. Keep source artwork and destination records in a shared business location rather than one employee account.
Document the tested date, file version, destination, devices, and result. This small record makes later troubleshooting much faster.
